 Direction: Given the scenario below, answer the guide questions. 

Scenario: Imagine that you are a team leader in a sales account in a contact center, your supervisor asks you to make a report about your team’s sales for the month to be submitted after 1hr, because of time pressure you just keep on tapping your keyboard to finish the report until you reach the last paragraph but suddenly your computer shut down from a power outage.

 

Guide Questions:

What do you think will happen to your unfinished report?

What could have done while making your report to avoid losing the file?


Save - The process of writing data to a storage medium, such as a floppy disk, CD-R, USB flash drive, or hard drive. It is commonly found in most programs under the File tab or menu. The icon of save looks like a floppy diskette.

 


When saving a file, the save command is used to store the file in its previous name but if you want to save the file in a new name or rename a file, save as is the command to use.

Reason for Saving File 

If the file is not saved while working on it, it will be lost unless the program that you are using has automatic saving. 

An example is when you are finishing your research paper and you just keep on typing without saving the file, when the computer crashes or there is a power interruption where the computer will be shut down or needed to reboot, the file you are working on will be lost.

 While editing your work in a specific program the data is being saved in RAM which is a volatile storage meaning when the computer shuts down or turned off the data you are working with will be lost too. 

Once you save your file in a storage device such as a hard drive, which is the main storage of a computer and non-volatile storage then the file you are working on or editing from the last time you click save will be stored in the device or drive you to choose to save the file.

 Where to Save Files? 

The file can be saved in your chosen destination on your computer. A program may use a particular folder by default in saving a file or browse the drives in your computer to save a specific file. 

How to Save a file on a different drive in the computer?



Since you have an option in saving files in different locations, look at the example on how to save a document file in MS Word to a computer desktop for the first time, first you need to click File Tab on the ribbon which will take you to backstage view.

In the backstage view click Save As, after clicking save as, the option will appear, click browse then the save as dialog box will appear on your screen where you can choose on the left pane on where you will save your document.

Finding or Searching File 

After saving a file and you already closed the program that you worked with, the saved file can be opened again.



 Depending on the location, drive and folder you saved your file where you can retrieve or open the file previously saved. For example, you saved a document file in a folder located in

 Documents in your local disk C: or also known as the hard drive, then you need to go to that location. In this lesson, we are going to use Windows 10 Operating System as an example for finding or searching files. 

Finding or searching a file in Microsoft windows is very easy whether you are searching document, spreadsheet, presentation, image, video, or music Window search feature will help you find it. 

1. First, from your computer desktop move your mouse pointer on the taskbar where you will see the search icon which is a magnifying glass.

2. Type the part of the file name you are searching for. Look at the search tips section for tips on searching for files. 

3. In the search result that best matches, choose and click the file that you are looking for. You can double-click the file or right-click the open to view the specific file that you have searched.

 Finding files in Windows/File Explorer 

Another way on searching for a file on your computer is through file explorer or windows explorer.

1. From the taskbar, click the folder icon which will direct you to the file explorer.

2. In the left pane click This PC

3. At the right top corner of windows/file explorer is the search field where you can type and find the file you are looking for.

 Retrieving files from recycle bin.

 When a file saved on the local disk or hard drive was lost or deleted it can still be restored or retrieved. It can be retrieved from the recycle bin. Here are the steps:

 


1. Look for the “Recycle Bin” icon on the desktop then double-click the left button of the mouse to open.

2. Locate and then select all the files needed for Recycle Bin recovery.

3. Click the manage tab then click the restore selected item/s command. The file will be restored to its previous location before being deleted or lost.
