This topic will introduce you to the standard features/ utility of the software which is called the file management utility which aids the user in locating the file.
In the previous topic, you have learned to create folders to store your files and retrieve files from the search box found in Windows explorer. Windows explorer which is now termed file explorer in a newer version of Windows OS is a computer program that provides a graphical user interface that lets the user organize the files and folders in the storage devices.
In this lesson, it will focus on the file management utility features from the windows package.
File Explorer is usually found once you click the start button in the column of the Windows program, this is true with the Windows 10 version.
In Windows 10 the file explorer icon can also be found, pinned on the taskbar. Click the icon to open the File Explorer window.
In the file explorer window click This PC on the navigation pane, this will display all the drives that your computer has access to and will also display an area in which you can navigate with the drive through your folder structure to locate files.
Hard disk drive - A common letter for the main hard disk drive of a computer is C:\. The C:\ drive is typically the computer's main internal storage unit.
Removable Storage - There are several different types of removable storage that can be used for saving and transferring files from one computer to another. The Flash Drive is one of these, a small device with storage capabilities that vary depending on the device and is accessed by the computer through a USB port.
Network Drive - If the computer is connected to a computer network, you will have access to network drives in addition to those available locally on the computer that you are using.
The computer that contains the network drive will be physically located in another location on a special computer known as a server.
In the previous topic you learned how to find a file inside the file explorer, let us have a short recap of that together with the other features and tasks that can be done with the File Management Utility.
Finding Your Files – You already know how to locate or to find the file by using the search box in the file explorer, if you forgot the location where you exactly saved the file this might help you find it easier, you will type a keyword of your file, for example with the filename work plan.
You can choose to search the entire drive or within a folder. After typing the keyword, just press the enter key on the keyboard and the right pane of the utility window will filter to return items that contain the keyword in either the filename, content, or properties.
Opening a File - Windows Explorer can be used to open a file that is saved on your computer or another storage device. Once you locate the file, simply double-click the file, or right-click then open it.
Copying a File – This is necessary to back up a file or folder. The process of copying will leave the original file (or folder) intact, in its current location and create a duplicate in a new location. Select the file or folder that you want to copy, right click then copy or Ctrl + C after which go to the location where you want to put it then just press Ctrl+ V or paste.
Moving a File or Folder - Moving a file (or folder) is similar to that copying. However, the file (or folder) is removed from the original location, placed on the clipboard, and then pasted (moved) to the new location, instead of using the copy command, the cut command is used or Ctrl+ X.
Deleting a file or folder – Another feature that you can use is deleting the files to clean and organize your storage but be careful in deleting a file, particularly the ones that not existed in your hard drive because it can be permanently deleted. If it existed in the hard drive, there is a possibility that it can be restored in the recycle bin.
Zipping (Compressing) a Folder - Zipping is the process of packaging a folder that contains multiple files into a single file (called a "Compressed" or "Zipped" file). A Zip file has a ".zip" file
extension and the icon for the zip file look like a folder with a zipper. In order for the recipient to view the files, they first need to unzip or extract the zipped folder to access the individual files inside.
Steps in Zipping a folder from File Explorer.
1. Find the location of the folder that you would like to zip. Do not open the folder, just click on it once to be selected.
2. Right-click on the folder, point to the "Send-To" option, and select the "Compressed (zipped) Folder" option.
3. If a border appears around the folder name, Press the Enter Key to accept the default name of the zipped folder.
4. This will create a second copy of the folder with a ".zip" file extension. The icon of the zipped folders is a picture of a zipper on the folder.
5. The zipped folder is now ready to be sent.
Steps in Unzipping a folder from File Explorer
1. Select the zip folder in the storage drive location2. Right-click the zip file/folder and select “Extract All” from the shortcut menu
3. A dialog box will appear where you need to browse where you are going to put the extracted folder.
4. The folder will then be extracted from the selected location and it will be turned as an ordinary folder
